Cender Systems ("we," "us") is a sole proprietorship. This policy explains what information we collect, how we use it, and the choices you have.

Information we collect

• Client contact details: names, email addresses, and mobile numbers of business owners and staff who sign up for our services.
• Call information: when our virtual assistant answers calls for a client business, we process call recordings, transcripts, the caller's phone number, and details the caller provides (such as name, service address, and the reason for the call), on behalf of that client.
• Billing information: when you subscribe, payments are processed by our payment provider, Stripe. Stripe collects your card details directly; we never see or store your full card number. We receive your name, email, business name, billing address, plan, and payment status.
• Setup information: the details you give us in our setup form, such as business hours, services, on-call contacts, and calendar preferences, used to configure your virtual assistant.

How we use information

• To answer and route calls, book appointments, and email call summaries and urgent-call notices to the client business.
• To keep call logs and prepare reports for the client business.
• To provide support, maintain our records, and meet legal obligations.

Service providers

We use trusted vendors to run our service, such as providers for payments, phone calls, email delivery, AI voice processing, calendars, and data storage. They process information only to provide those services to us. We do not sell personal information.

Data retention

We keep call records only as long as needed to provide the service to the client business and meet legal requirements, then delete them. Clients can ask us to delete their data at any time.

Security

We use reasonable safeguards, including access controls and reputable service providers, to protect information. No method of transmission or storage is completely secure.

Your choices

You can ask to see, correct, or delete information we hold about you through our contact form. If you called a client business and want your call information removed, contact that business or use our contact form.

Children

Our services are for businesses and are not directed to children under 13.

Changes

We may update this policy. The date at the top shows the latest version.
